Healing Rooms for Mid-Dorset (“we”) have obligations under the United Kingdom General Data Protection Regulation (“UK-GDPR”) to ensure that all individuals whose personal information we process have been informed of why we need it, how it is used, what their rights are, to whom the information is disclosed and what safeguarding measures are in place to protect their information.

What personal data we collect and why we collect it
The only personal information we retain about people outside our organisation comprises email addresses and other contact information provided to us by the individual enquirers (“Enquirers”). We keep that personal information solely for two purposes – to respond to queries and for inclusion on our mailing list, if Enquirers have requested such inclusion. The only exception would be if the Enquirer were to enter into any financial transaction with us (for example the purchase of goods) in which case we may be required to maintain a complete record of the transaction for audit purposes including any statutory requirements of Her Majesty’s Revenue & Customs.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

We do not share the personal information of Enquirers with any third parties for any reason
How long we retain your data
When we respond to queries we do so to the same email or postal address from which the query was received. Unless instructed otherwise, we will keep such addresses and contact information for six months from the date of resolution of the initial query in order to address any further matters arising. The only exception would where a financial transaction was involved in which case we may be required to maintain the Enquirers’ personal information for an extended period for statutory audit purposes. This could be for a period of up to seven years from the transaction date.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
Enquirers have the right at any time to request the deletion of their personal information. Any request for the removal of personal information or any enquiry relating to the personal information being held about Enquirers or any complaint concerning personal information held by us should be made to the National Administrator by email at contact@healingrooms.org.uk.
How we protect your data
Enquirers’ personal information if received in paper form is maintained securely in locked cabinets in our UK head office but is more usually stored electronically on encrypted, password-protected computers.
Additional information
We may create and update a mailing list for Enquirers who have expressed an interest in the work of the organisation. The personal information of Enquirers would be retained for the purpose of distributing news and prayer updates, provided we had received the Enquirers’ prior consent. Enquirers may unsubscribe at any time from receiving further news-related emails via the “Unsubscribe” link.
